Every warehouse team knows the feeling. You catch the error, you know you’re right, and then you spend the next three weeks proving it to someone who wasn’t there. Digging through footage, chasing paperwork, hoping the photo you need actually exists.

Today that changes. Arvist Claims Management is now live, extending our quality control platform from the moment an error is detected all the way through dispute resolution.

In this article:

° Why freight claims quietly cost warehouses more than the claims themselves

° What Arvist Claims Management is and how it extends quality control into dispute resolution

° What happens the moment a claim comes in, and the role Arvist’s AI agent plays

° How it plugs into the cameras and systems you already run

° The results customers can expect once claims documentation runs itself

Why do freight claims cost warehouses so much?

Two numbers tell the story. Shipment inaccuracies can cost warehouses up to 10% of revenue. And roughly 30% of freight claims are fraudulent, which means warehouses aren’t just losing money on legitimate errors, they’re paying out on claims that never should have been filed in the first place.

The problem isn’t that teams don’t care. It’s that the claims process runs on manual evidence gathering, manual form filling, and manual correspondence, and every manual step is a place where recoverable dollars quietly disappear. Claims get written off because they’re too tedious to pursue. Disputes get paid because nobody can find proof of what actually left the warehouse.

What is Arvist Claims Management?

Claims Management is built as an extension of Arvist’s quality control solution, which already documents shipment conditions across your operation using the cameras you have today. It verifies counts, detects damage, and creates time-stamped visual audit trails at receiving, packing stations, and outbound docks.

Claims Management picks up where that detection leaves off:

Automated claims documentation: The visual evidence captured during quality control inspections is automatically compiled into everything a claim requires, with photos, timestamps, and shipment details already attached.

Automated form filling: OS&D claims forms get populated directly from your shipment data, eliminating one of the most tedious jobs in the warehouse office.

Faster dispute resolution: When a customer or carrier files a claim against you, the proof was captured at your dock door the moment that shipment moved. Review the evidence, respond directly, and push back on payouts you shouldn’t be making.

What happens when a claim comes in?

This is where it gets interesting. When a claim lands, whether it’s a customer disputing a shortage or a carrier flagging damage, Arvist’s AI agent goes to work on it. It pulls the relevant footage, cross-references the shipment data, and assembles a case file before anyone on your team has opened the email. Instead of a warehouse manager digging through hours of camera footage looking for one pallet on one dock door, the agent has already found it.

How does it work with our existing systems?

The same way the rest of the Arvist platform does. Claims Management runs on your existing camera infrastructure, no new hardware required, and connects to the 80+ WMS and ERP systems we already integrate with.

If you’re already using Arvist for quality control, the evidence trail Claims Management needs is already being captured. This just puts it to work.

What results can we expect?

Arvist customers see 35% fewer damage claims and 99%+ perfect order rates once vision AI is verifying shipments across their operation. Claims Management extends that value to the claims that still happen, turning weeks of administrative burden into a process that largely runs itself, and turning “we can’t prove it” into “here’s the timestamped footage.”

A few questions we hear a lot

Can this help us push back on fraudulent claims? Yes. Roughly 30% of freight claims are fraudulent, and having timestamped footage of exactly what left the dock makes it a lot harder to pay out on a claim that shouldn’t exist.

Is this only useful for us or also for disputes customers file against us? Both directions. It works the same whether you’re filing a claim against a carrier or defending against one a customer files against you.

Do we need new cameras for this? Nothing new to install. It’s the same camera infrastructure and the same WMS and ERP integrations, just extended to cover claims.

See it for yourself

We could keep describing it, but this is one of those things that clicks the moment you watch it happen. Watch the product video to see Claims Management in action, or better yet, come see the full platform live at the Arvist Experience Center in Chicago.
